How to add your company details and VAT ID for CartBoss invoices

Add your company details and VAT ID for CartBoss invoices under Organization → Profile; you need them before you can add funds or set up a brand. The company profile is free and takes a few minutes.

Before you begin

  • Only the organization owner and users with the Manager role can open Profile. Editors can't.
  • Each organization has its own company profile. Check that you are in the right organization: its name is at the bottom of the left menu.

Fill in your company profile

  1. In your CartBoss dashboard, click Profile in the left menu, under Organization. The Company profile page opens.
  2. Is this a business purchase?: choose Yes for a company, No if you buy as a private person.
  3. Company name (or First and Last name if you chose No): type the name for your invoices.
  4. VAT ID (businesses only): type your VAT number. It is required for businesses in EU countries.
  5. Under Address, fill in Street Address, Country, City and Postal code. Suite/Unit and State / Region are optional.
  6. Under Contact & billing, fill in Contact phone number. Optionally add:
    • Billing email: where we send billing emails. Empty means the organization owner's email.
    • Developer's email: the person who installs CartBoss on your store.
    • Additional notes for invoice: text you want on your invoices, such as a purchase order number.
  7. Click Save changes.

Company profile form: business purchase Yes, Company name, VAT ID, Organization ALIAS, address fields, Contact phone number, Billing email, Developer's email, Weekly report emails switch and Save changes

  1. A window Confirm your company details shows what you typed and how VAT will be handled on your invoices. Check it and click Confirm & Save, or Go back to fix something.

Confirm your company details window with Company, Address, Country, VAT ID, the line Your invoices will not include VAT (outside EU), and the Go back and Confirm and Save buttons

Came here from Billing? After saving, CartBoss takes you back there.

How the VAT ID check works

For a business in an EU country, CartBoss checks your VAT number as you type, against VIES, the EU's VAT number register:

  • Checking VIES…: the check is running.
  • ✓ followed by a company name: the number is valid and registered to that company.
  • Not found in VIES: VIES doesn't know this number. Check it for typos.
  • The VAT number you entered belongs to … which does not match the selected country.: the country under Address and the country of the VAT number differ.
  • This does not look like a valid VAT number format for the selected country.: the number has the wrong format.
  • VIES is temporarily unavailable — we will verify automatically after you save.: save anyway; we check again later.

After saving, the top of the page shows the result, for example VAT number validated with a reverse-charge badge. A number that is pending or not found is checked again automatically, so a newly registered number can still validate later. Until then, your invoices include VAT.

What needs a complete profile

A profile is complete when it has a company name (or your name), street address, city, postal code and country. Until then:

Turn weekly report emails on or off

  1. On the Company profile page, find Notifications.
  2. Switch Weekly report emails on or off. It saves at once: you see Weekly reports enabled or Weekly reports disabled.
